How Pixply Ltd handles personal data in the PixMaker app, web portal and related digital services

1. Scope of this policy

This Privacy Policy explains how Pixply Ltd collects, uses, shares and protects personal data when you use the PixMaker mobile app, web account portal, account, subscriptions, AI features, image conversion tools and related digital services.

It does not describe the separate processing connected with buying, shipping, returning or warranting physical products through our online store, except where the same PixMaker account or support channel is used. Store-related processing may also be covered by the privacy information provided with the store.

2. Who is responsible for your data

Pixply Ltd is the data controller for the personal data described in this policy. Pixply Ltd is registered in England and Wales under company number 16040467, with its registered office at Office One, 1 Coldbath Square, Farringdon, London, United Kingdom, EC1R 5HL.

3. Personal data we collect

Information you provide

  • Account data: name, email address, login method, account settings and information needed to maintain your account.

  • Subscription and credit data: plan, renewal status, AI credit balance and history, digital purchases, rewards, codes and related billing records.

  • Images and files: images or other content you upload or import into image-conversion or design features.

  • AI inputs: prompts, settings and instructions you submit to AI features.

  • Support data: messages, attachments and information you send when you contact us.

Information collected automatically

  • Device and app data: device type, operating system, browser, app version, language, settings and technical identifiers.

  • Device connection data: board identifier, activation or pairing status, firmware or product version, and Bluetooth-related information needed to connect or manage a PixMaker device.

  • Usage and diagnostics: features used, interactions, error logs, crash data, performance information and security events.

  • Approximate location: location inferred from IP address for security, fraud prevention and regional settings. We do not collect precise GPS location unless a separate feature clearly requires it and you enable that permission.

Information from service providers

We may receive limited information from app stores, sign-in providers, payment providers, analytics providers and other processors where needed to operate the service, confirm a purchase, maintain security or provide support.

4. How we use personal data

We use personal data only where we have a valid reason to do so. Depending on your location, our legal bases may include performance of a contract, legitimate interests, consent and legal obligations.

  • Provide the service: create and secure your account, connect devices, operate app and portal features, manage subscriptions and credits, process digital purchases, convert images and run AI features.

  • Provide support: respond to requests, investigate errors, restore eligible credits and manage account issues.

  • Maintain security: prevent fraud, abuse, unauthorised access and misuse of accounts or paid features.

  • Improve PixMaker: analyse performance, fix bugs, understand feature use and develop improvements, using consent where required for non-essential analytics.

  • Communicate with you: send account, billing, renewal, security, service and support messages, and marketing only where permitted by law.

  • Meet legal obligations: maintain records and respond to lawful requests where required.

5. Images, prompts and AI processing

When you use image conversion or AI features, the images, prompts and settings you submit may be processed on your device, on PixMaker systems, or by trusted processing providers acting for us, depending on the feature.

We use this content to provide the feature you requested, maintain security, diagnose failures and provide support. We do not sell your images or prompts.

We do not use your private uploaded images or prompts to train third-party public AI models without your consent. If this practice changes, we will update this policy and obtain consent where required.

Images, prompts and generated results are kept only as long as reasonably needed for the feature, your account, support, security or legal requirements. Some features may allow you to save content to your account until you delete it or close the account.

6. Payments, subscriptions and AI credits

Payments may be handled by third-party providers such as Stripe, PayPal, Apple or Google. These providers process full payment credentials under their own privacy terms. Pixply Ltd does not store full card numbers.

We keep limited information about your plan, renewal status, purchases, credit balance and transaction history so we can provide paid features, show account information, prevent fraud, provide support and meet legal or accounting obligations.

7. Cookies, analytics and similar technologies

The website, portal and app may use cookies, SDKs and similar technologies for essential functions, login, security, preferences and performance. Where required, non-essential analytics or advertising technologies are used only with the appropriate consent or opt-out controls.

You can manage available choices through the consent controls we provide and through your browser, device or operating-system settings.

8. Children and accounts

Children below the minimum account age stated in the PixMaker Digital Services Terms of Use must not create their own PixMaker account or submit personal data through the app or portal.

A parent or responsible adult may operate the digital account while supervising a child's use of the physical PixMaker product. If you believe a child has provided personal data through an account without the required permission, contact us and we will take appropriate action.

9. When we share personal data

We share personal data only where reasonably needed, including with:

  • Service providers that host, secure, analyse or support the app and portal;

  • AI or image-processing providers used to perform a feature you request;

  • Payment, app-store and sign-in providers;

  • Professional advisers, regulators or authorities where required by law or necessary to protect rights, security or users; and

  • A buyer or successor if our business or relevant assets are sold, merged or reorganised, subject to appropriate safeguards.

We do not sell your personal data for money. Where a privacy law defines certain advertising-related disclosures as a 'sale', 'sharing' or targeted advertising, we provide the rights and choices required by that law.

10. International data transfers

PixMaker may use service providers in different countries, so personal data may be processed outside your country of residence. Where UK or EEA law requires safeguards for an international transfer, we use an approved transfer mechanism or another lawful safeguard, together with additional measures where appropriate.

11. How long we keep data

We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, including to maintain your account, provide saved content and paid entitlements, support you, prevent fraud, resolve disputes and meet legal or accounting requirements.

When data is no longer needed, we delete or anonymise it. Backup copies may remain for a limited period until they are overwritten in the normal backup cycle.

12. Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, restrict or object to certain processing, receive a portable copy of certain data, withdraw consent, or opt out of certain advertising or profiling uses.

UK and EEA users may also complain to their local data-protection authority. UK users may complain to the Information Commissioner's Office (ICO). US state residents may have additional rights under applicable state privacy law. Users in Japan may have rights under the Act on the Protection of Personal Information (APPI).

13. Security

We use technical and organisational measures appropriate to the nature of the data and the risks involved, including access controls, limited staff access and encryption in transit where appropriate.

No online service can guarantee absolute security. If a personal-data breach requires notification under applicable law, we will notify affected users and authorities as required.

14. Account deletion

You may request deletion of your PixMaker account through an available account-control feature or by contacting support. Deleting an account may permanently remove saved designs, settings, credits or other digital entitlements associated with that account, subject to any rights or records we are required to preserve by law.

15. Changes to this policy

We may update this Privacy Policy when our digital services, providers or legal obligations change. If a change is material, we will provide reasonable notice through the app, portal, email, website or another appropriate method where required.
